What Is an Experience Letter or Experience Certificate?
An experience letter is an official document issued by an employer to confirm an individual's employment history. It usually includes the employee's name, designation, date of joining, last working day and a brief description of their responsibilities.
In India, the terms experience letter and experience certificate are commonly used interchangeably. Both generally refer to a document that verifies an individual's work history. The exact format and information included may differ between organisations.
Employees may need this document when applying for a new job, completing background verification, applying for a visa, pursuing higher education or maintaining records of previous employment.
Details Usually Included in an Experience Letter
A standard experience letter generally contains the following details:
- Company name, address and official letterhead.
- Employee's full name and designation.
- Date of joining and last working day.
- Department or business unit, where relevant.
- A brief description of the employee's responsibilities.
- A factual statement about conduct or performance, if required.
- Name, designation and signature of the authorised signatory.
Experience Letter vs. Relieving Letter vs. Service Letter vs. Recommendation Letter
These documents may be issued around the time an employee leaves an organisation, but they serve different purposes.
Document | Who issues it | What it confirms | When it is issued |
Experience letter / certificate | Employer | Employment period, designation and, where relevant, responsibilities | Usually after employment ends |
Relieving letter | Employer | That the employee has been formally released from their duties | Usually after exit formalities |
Service letter | Employer | Basic proof of employment or service | During or after employment, depending on the organisation |
Recommendation letter | Manager, employer or professional reference | An individual's skills, contribution and suitability for another role | Usually on request |
An experience letter records the employee's work history. A relieving letter confirms that the organisation has released the employee from their duties. A service letter is generally a factual record of employment, although its meaning and format can vary by employer and country. A recommendation letter is different because it provides an endorsement of the person's abilities or work.
Best for: Full-time and permanent employees who have completed their employment with the organisation.
This format covers the essential employment details and can be used by most companies. Add a short description of the employee's actual responsibilities where required.

Do's and Don'ts When Preparing an Experience Letter
An experience letter may be checked by a prospective employer or a background verification agency. Errors in names, dates or job titles can delay verification. Use these points before issuing or submitting one.
Do's
- Use official letterhead: Include the company's name and address. Have the letter signed by an authorised representative.
- Verify employment dates: Check the joining date and last working day against HR records before issuing the document.
- Use the recorded designation: Keep the job title consistent with the company's employment records.
- Describe the role accurately: Mention the employee's main responsibilities without adding duties they did not perform.
- Check the employee's name: Use the full name recorded in the company's official documents.
- Keep a copy: HR should retain the issued letter so it can be verified or reissued if needed.
Don'ts
- Don't add salary details unnecessarily: Include compensation only if the employee requests it and company policy permits it.
- Don't include personal opinions: Avoid unsupported claims or comments about the employee's reason for leaving.
- Don't use inconsistent information: Differences between the letter, relieving letter and employment records can create verification issues.
- Don't disclose confidential information: Avoid mentioning internal projects, customer details or sensitive business information.
- Don't leave authorisation unclear: Include the signatory's name and designation. Add a company stamp where the organisation's process requires one.
How to Write an Experience Letter or Certificate
HR teams can use the following process to prepare an accurate experience letter.
- Start with the official letterhead. Add the company name, address and logo using the organisation's approved format.
- Enter the issue date. This should be the date on which the certificate is prepared, not automatically the employee's last working day.
- Add the employee's details. Verify the full name, employee ID, designation and department against HR records.
- Confirm the employment period. Include the correct joining date and last working day. For a current employment certificate, mention the joining date and confirm that the person is still employed.
- Describe the responsibilities. Add one or two sentences about the employee's actual work. Keep the description relevant to the role.
- Include a performance statement, if appropriate. Use factual wording supported by the organisation's records. This section can be omitted if the company does not include performance comments.
- Add the purpose, if needed. If the employee has requested the document for a specific reason, mention that it is being issued at their request.
- Get the letter authorised. Include the authorised signatory's name and designation, along with a signature and company stamp where applicable.
- Retain a copy. Save the issued certificate in the employee's records for future verification.
